The role requires a hands on mentality, as the successful candidate will play an instrumental role in establishing the office from scratch, supporting daily operations, and ensuring an exceptional standard of delivery across all areas of the business. You will also provide EA support to the SEO and any visitors into the region, organising travel, diary, and itinerary management. Strong communication skills are essential, as senior stakeholders are based across multiple international locations and time zones. The successful individual must be highly adaptable, resourceful, and willing to take ownership of a broad range of responsibilities to ensure deadlines are met, the business operates efficiently, and possesses the highest of standards each day. Key Responsibilities Support the initial office set up from design planning through to fully operational. Work closely with the SEO and additional global Senior and C-suite level individuals to support them with logistics, diary management and administrative requirements. Act as the primary point of contact for all internal and external stakeholders including global seniors, clients, building management, local vendors, service providers, and suppliers. Liaise with global HR teams to support onboarding, relocations, visa processes, and employee administration. Utilise extensive local knowledge to arrange senior meetings, client dinners at top venues and restaurants, accommodation, events, and other business requirements across Dubai. Support global and local ad-hoc projects and operational initiatives as required. Take a proactive, solutions driven approach to overcoming challenges and ensuring the smooth running of the office at all times. Requirements It is essential that you possess 5 years+ of current experience within the financial services or legal sectors located in the DIFC. Exceptional written and verbal communication skills, with the confidence to engage with senior stakeholders across global offices and time zones. Strong knowledge of Dubai, including local suppliers, venues, business services, and key contacts. A polished, professional, and highly approachable manner. Flexibility and a hands on approach, with a willingness to support wherever required during the office establishment phase. Absolute discretion and the ability to manage confidential information appropriately. A proactive, resourceful, and independent working style with excellent problem-solving abilities. Outstanding organisational skills and the ability to manage multiple priorities within a fast-paced environment. Strong attention to detail and a calm, solutions-oriented mindset under pressure.
