Role overview
We are looking to hire a proactive and well-organized Receptionist to join ProgressSoft and provide effective front-desk and administrative support. The ideal candidate will be responsible for creating a welcoming and professional experience for visitors and callers, coordinating day-to-day administrative activities, and supporting the team with general administrative tasks.
Responsibilities
- Answer incoming telephone calls, determine the purpose of callers, and forward calls to the appropriate personnel or department.
- Answer questions about the company and provide callers with the company’s address, directions, and other relevant information.
- Welcome company visitors, determine the nature of their business, and announce visitors to the appropriate personnel.
- Organize and maintain the filing system, keeping documents and records systematic and easily retrievable.
- Maintain fax machines, assist users, send faxes, and retrieve and route incoming faxes.
- Create and print fax cover sheets, memos, correspondence, reports, and other documents when necessary.
- Perform other clerical duties as needed, such as filing, photocopying, and collating.
- Type external correspondence using information provided by management staff, print the correspondence, assign issuance numbers, and send it to the concerned parties.
- Perform other duties related to the job as assigned by the Administration Manager.
Requirements
- Bachelor’s degree in Business Administration or a related field.
- 1-3 years of relevant experience in a receptionist, front-desk, or administrative role.
- Excellent verbal and written communication skills in Arabic and English.
- Proficiency in Microsoft Office applications.
- Strong organizational, coordination, and follow-up skills.
- Professional appearance and strong customer-service orientation.
- Ability to handle multiple tasks and prioritize effectively.
- Strong interpersonal skills and the ability to communicate effectively with visitors and employees.
- Ability to maintain confidentiality and discretion when handling company information.
- Attention to detail and accuracy in handling correspondence and documentation.
- Good time-management and problem-solving skills.
- Ability to work effectively under pressure.
